The best technology decision starts with how your business actually works. A practical look at when to buy, connect, or build.

Start with the workflow, not the product

Before comparing software, follow a real piece of work through your business. Who starts it? Where is information entered again? Which decisions need approval? Which exceptions consume the most time? This gives you a useful requirement, rather than a list of features that look impressive in a demo.

When an existing product is the right fit

An established product can be a good choice when the workflow is common, the configuration meets your needs, and the vendor provides the support you require. Evaluate it with real examples, including the awkward ones. Check how data can be exported, what access controls are available, and how the price changes as your team grows.

When a custom solution earns its place

Custom software can be worth exploring when an important process is distinctive, existing products create significant workarounds, or a customer experience needs capabilities that the available tools cannot provide. The benefit needs to justify development, maintenance, support, and the responsibility of owning the system.

There is a third option: connect what you have

You may not need to replace everything. A small internal tool, a well-designed integration, or a better approval workflow can address the actual bottleneck. Consider the reliability of available APIs and the ongoing cost of maintaining the connection.

Compare the full cost

Include licenses, migration, integration, training, maintenance, and the time your team spends working around limitations. Then compare those costs with the expected operational benefit over a useful planning period. Record assumptions clearly. A credible business case should still make sense when the optimistic estimates are reduced.
